ABOUT YOUR ROLE
As the Senior Events Specialist at Descartes Underwriting, you will be the driving force behind the execution of our global event strategy. You will plan, carry-out, and optimize a portfolio of events worldwide, ensuring our brand maintains a high-visibility, top-tier presence in key regions, notably in North America, Europe and APAC. You will report to the Marketing & Communication Project Manager, to support our business growth ensuring alignment with our overall business priorities and marketing strategy.
Your Core Purpose: Deliver high-quality, on-brand event experiences that elevate our market presence, fuel sales pipeline opportunities, and deliver measurable ROI globally.
The applicant will be in close and effective cooperation with all business units and play a vital role in the following activities:
1. Strategy, Roadmap & Budget
Global Event Strategy: Plan and execute a wide range of client facing events, including trade shows, conferences, internal and external brokers events, webinars, speaking opportunities, and other strategic marketing activations.
Events Calendar Ownership: Put together and maintain the master global event roadmap, managing cross-functional timelines, deliverables, and milestones.
Budget management and sponsorship negotiation: Ensure that events planned fall within the annual events budget defined by the Heads of Regions and the CIO Office. Lead vendor selection and sponsorship negotiations to secure high-value packages and maximize corporate return on investment.
2. Operational Logistics & Execution
End-to-End Event Project Management: Oversee event operations and logistics including venue sourcing (for internal events), vendor and supplier management and relationship, contract negotiation, booth/exhibition space coordination, and marketing material/goodies briefs and printing, and other operations management to guarantee high-quality attendee experiences and event execution.
Stakeholder support: In line with the Marketing and Events’ needs, oversee and deliver specific side projects (ex: Christmas sales and directors gifts, business cards creation and printing, goodies creation etc.)
3. Collaboration & Stakeholder Alignement
Sales & Hub Integration: Collaborate closely with Sales/Business Developers teams and regional Heads of Hubs worldwide to align event operations with business objectives.
Cross-Functional Partnering: Serving as the strategic bridge between the global business units, regional sales hubs, the executive leadership (CEO/CIO Offices), you will turn physical and virtual events into engines for client engagement, pipeline generation, and brand awareness.
4. ROI Enhancement, Lead Capture & Analytics
Events are one of Descartes Underwriting’s key lead-generation channels. You will work closely with the Growth Marketing Manager and more broadly the CIO Office to maximize and measure their value.
Pre-event: Define lead-generation objectives and priority accounts, coordinate invitations and outreach, and ensure tracking is in place for lead attribution.
During the event: Ensure leads, key interactions, and relevant business opportunities are captured consistently.
Post-event: Coordinate event feedback and lead follow-up, ensure contacts and meeting notes are properly captured in Salesforce, and report monthly and quarterly on contacts, meetings, opportunities, and pipeline generated. Use these insights to measure ROI and improve event strategy.
ABOUT YOU
EXPERIENCE & QUALIFICATIONS
Event Management Expertise: 6+ years of experience in orchestrating corporate B2B events, trade shows, and webinars with strong organizational skills.
Fluent English: Native-level or fluent spoken and written English is required (daily operations in an international environment). Other languages are a plus.
CRM & Tools: Experience using HubSpot and Salesforce for registration, lead attribution, and event performance reporting is a plus.
SKILLS
Collaboration: Able to operate effectively across decentralized global teams, regional sales leads, and executive teams.
Interpersonal relationship: High emotional intelligence, interpersonal skills, and clarity in communication.
Agile & Solutions-Oriented: Thrives in a fast-paced environment with a global footprint (supporting 150+ events per year).
Details focused: Detail oriented and ability to anticipating needs and coordinate many details.
